Before issuing a report on the website, here we will answer you some frequently asked questions:

1. Data security and anonymity

The availability of the respective hotlines is provided in the table with the countries and phone numbers below.

At the beginning of the call – either for live answering or voice mail you will be asked for the level of anonymity you prefer. You can choose between the following confidentiality options:

  1. “Anonymous” where you don´t need to give any contact details;
  2. “Confidential”, where the personal and contact details will be provided also to M+W responsible person in charge of compliance.

We encourage you to choose the confidential option and leave your contact details since this facilitates investigations of the M+W Compliance Team; your identity will certainly not be disclosed to anyone who is not in charge with the investigations.

Please inform the operator respectively or leave a respective message on the voice mail e. g. “Please treat this report confidential.”

2. Follow up with your report

After submission of your report to an operator, you will be provided with areference number. Please diligently write down this reference number and save it.

If your report was done by voice mail, please call the M+W Ethics Line at a later stage and speak to an operator and ask for feedback in order to obtain areference number.

If you are not fluent in any language for which there is live answering and your language is only provided by voice mail, you can also contact Deloitte Tip-offs Anonymous via email (M+Wgroup(at)ethics-line.com) to obtain the feedback.

Please note that by making use of the email facility, your email address will become known to Deloitte Tip-offs Anonymous but not to the M+W Compliance Team, if not explicitly preferred.

In this email, please state in the subject line “Feedback requested” and describe the incident in short, mentioning

  1. Date and time when you issued the voice mail report at the M+W Ethics Line.
  2. Short description of the irregularity you have observed.
  3. Date and time of the incident.
  4. Name(s) of the people involved.
  5. That you request feedback and apply for the reference number for this incident.

3. What happens to your report?

Your report will be translated into English (if necessary) and then be provided to the M+W Compliance Team for investigation. The M+W Compliance Team may have further questions on the incident, so they might contact you via Deloitte Tip-offs Anonymous. The contact will be made by either by telephone or email,depending on the contact details you provided.

Therefore, we kindly ask you to check your emails from time to time if there is a respective message from Deloitte Tip-offs Anonymous which provides some questions from the M+W Compliance Team in an anonymous way. Pleaseanswer this email – the M+W Compliance Team might be dependent on your help and they can only contact you in this way.

4. Further information and contact

For further questions regarding telephone reporting, please contact Deloitte Tip-offs Anonymous team directly via email (M+Wgroup(at)ethics-line.com) or via telephone by dialing the relevant contact number for your region and select the option to speak to a live operator.

5. What shall I state in my report?

The M+W Ethics Line ensures total confidentiality and anonymity. Please select the country you´re calling from and use the respective number in the table below to make a telephone report. Your number will not be traceable to ensure your identity remains protected.

To make sure that the M+W Compliance Team receives all necessary information at your call, please follow the checklist below and make your telephone report in accordance with this checklist:

What shall definitely be mentioned in the call:

  1. Date and time of the incident.
  2. A description of the irregularity you have observed.
  3. Was there any exchange of money, gifts or entertainment?
  4. The physical address where the irregularity occurred.
  5. Name(s) of the people involved.
  6. Do you have any evidence (documents, invoices, bank statements, purchase orders, etc.)?
  7. Are there any witnesses?

Please provide as much details as possible. It supports us in the investigation. Thank you.
